Administrative Coordinator (Term – Maternity Leave until March 2023, Non-Union)
Grace Hospital Foundation, 300 Booth Drive, Winnipeg, MB
The Administrative Coordinator provides administrative support for the Grace Hospital Foundation and assumes responsibility for the daily reception duties, administrative tasks, and office organization. This position also assists with events and other fundraising campaigns. This term position is non-unionized and will begin in February 2022 and end once the maternity leave is completed.
Responsibilities:
Administrative
• Perform reception duties (e.g. answer phone lines, greet visitors, handle inquiries, etc.)
• Assist with the distribution and mailing of letters, invitations, newsletters, posters, and other printed materials
• Assist with accounts payable and receivables and bank deposits
• Maintain the filing and storage systems
• Order and maintain all office inventory
• Perform general office duties such as photocopying, faxing, scanning, printing, etc.
• Prepare meeting packages and record meeting minutes for the Board of Directors and subcommittees
• Coordinate courier pick up and delivery
• Provide administrative support to all staff in the Foundation office
Database
• Maintain and update donor information in the fundraising database
• Process donations through the fundraising database, as assigned
• Assist with fundraising database cleanup
Fundraising
• Assist with fundraising campaigns and all events
• Order supply needs for events and arrange courier services
• Coordinate online lotteries
Qualifications
• Post-secondary diploma in a relevant discipline
• 1+ years of administrative and reception experience, preferably in a non-profit or health care setting
• Intermediate computer skills, specifically with Microsoft Office and fundraising database software (Raiser’s Edge)
• Keyboard speed of 50 words per minute and data entry experience
• Ability to manage schedules and maintain a filing system
• Excellent communication, interpersonal, and organization skills
• Capacity to multi-task and prioritize
• Must be self motivated and able to work well both independently and cooperatively
• High degree of professionalism and sensitivity to confidential information
Other Requirements
• Must provide proof of COVID-19 vaccination
• Occasional evening/weekend work may be required
• Valid Driver’s License and access to vehicle preferred
• Current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check
